CHALLENGE

Cape Fear Valley Health System relied on a physician-created document for SGRT reimbursement and treatment documentation, requiring therapists to manually enter AlignRT treatment data into both the form and ARIA after every treatment. In a high-volume environment, this workflow consumed valuable staff time and increased the risk of documentation errors, missed approvals, and incomplete records.

They wanted a solution that would:

  • Streamline SGRT documentation and physician approval workflows within ARIA
  • Eliminate manual data entry while improving accuracy and reducing therapist workload
  • Strengthen active motion management documentation to support reimbursement and compliance under the 2026 CMMS billing guidelines

SOLUTION: OIS REPORTS MODULE

Cape Fear Valley became an early testing site for the AlignRT OIS Reports Module. The solution automated the transfer of SGRT treatment documentation directly into the oncology information system (OIS), eliminating the need for manual report creation and upload into their OIS system. The new workflow enabled therapists to complete treatments without manually typing SGRT values into ARIA documents, while simultaneously improving the level of documentation available for physician review and reimbursement support.

CLINICAL EVALUATION & KEY RESULTS

Cape Fear Valley established a more robust audit trail to support reimbursement justification and demonstrate compliance with active motion management practices after the implementation of OIS Reports Module. Workflow and documentation improvements included:
